1) Who We Are

These Terms & Conditions (“Terms”) govern bookings made with [Taibah Travels LLC] (“Taibah”, “we”, “us”, “our”) via taibahtravels.com, our staff, or authorized agents. Registered address: [Lefcourt National Building, 521 5th Ave, New York, NY 10175, USA]. Contact: (206) 848-5272, [info@taibahtravels.com].

By requesting a quote, paying a deposit, or using our site, you agree to these Terms.
2) Definitions
3) Our Role

We act as a travel organizer and/or agent. You also have a direct contract with each Supplier, and Supplier terms apply in addition to ours. We are not responsible for acts, errors, or schedule changes by Suppliers or authorities.

4) Scope of Inclusions

Your invoice controls. Unless expressly listed as included, an item is excluded.

Typical inclusions by product line (confirm your invoice):
Common exclusions: Passport issuance, vaccinations, personal expenses, porterage, optional tours, excess baggage, hotel city/municipality fees, tips (unless noted), and anything not listed as included.
5) Quotes, Prices, and Currency
6) Deposits, Balance, and Fees
7) Payments to Suppliers
Depending on the booking, we may process your payment or instruct you to pay the Suppliers directly. We charge our own planning or rush fees (if any) and are separate from Supplier charges.
8) Passports, Visas, and Entry Rules
9) Health, Vaccinations, and Fitness
10) Communicable Disease & Health Events (including COVID-19)

You understand that travel may involve health risks and changing rules (screening, documentation, masking, quarantine, insurance restrictions). Governments and Suppliers set policies and may affect your trip before or during travel. You accept these risks and agree that refunds, rebooking, or credits are subject to Supplier policies and any applicable insurance you purchase.

11) Flights and Airline Matters
12) Hotels and Rooming
13) Ground Transport, Tours, and Daily Flow
14) Group Bookings and Separate Arrivals
15) Trip Documents
Travel documents are sent by email; some trips may also include physical vouchers. Bookings made within 30 days of departure may be limited to digital delivery.
16) Last-Minute Bookings
Bookings within 30 days of departure may require a Rush Planning Fee in addition to any planning/service fees. We will advise you before proceeding. We may request copies of passports and traveler details to expedite arrangements.
17) Changes, Cancellations, and Refunds
Unless your invoice states otherwise (or a Supplier imposes stricter terms), our default policy is:
Client-initiated cancellation (days before departure):

Changes (names/dates/rooming/route): Subject to availability, Supplier approval, and fees plus price differences. Group air usually prohibits name changes.
Refund timing: If a refund is due, it is processed after we receive funds back from Suppliers. Timing varies by Supplier.

18) Additional Costs, Taxes, and Gratuities
Extra charges can apply and may be collected locally, including: hotel city/municipality fees, resort fees, departure taxes, excess baggage, and gratuities for guides/drivers/hotel staff or cruise service charges. Fuel, tax, or Supplier increases may occur after booking if permitted by law.
19) Travelers’ Duty to Respond
We are not liable for errors arising from delays in receiving your information (flight times for transfers, payment deadlines, passenger details, special requests). If information is not provided promptly, we may decline optional services.
20) Concierge and Third-Party Reservations
We are not responsible for reservations you make directly with hotels, airlines, or tour providers (e.g., dining, seat upgrades, independent tours). We may assist at our discretion, but changes/no-shows are your responsibility and may incur fees.
21) Responsibility and Liability
22) Insurance
Comprehensive travel insurance (trip cancellation/interruption, medical, evacuation, baggage) is strongly recommended. Unless stated, insurance is not included. If you decline, you accept related financial risks. Some destinations or activities may require minimum coverage.
23) Financial Terms, Currency, and Cards
24) Conduct, Laws, and Site Regulations
Travelers must comply with local laws, dress codes, religious site rules, and authority directives. Access to certain areas (including Rawdah) is controlled and not guaranteed.
25) Website Use and Content
Site content (text, images, logos) is owned by us or our licensors and may not be copied without prior consent. Do not attempt to bypass site security. By submitting reviews or photos to us, you grant a license to display them on our channels; you may request removal from future use.
26) Privacy
Our [Privacy Policy] explains how we collect and share data with Suppliers to deliver the services you request. By booking, you consent to necessary communications (email, phone, SMS, messaging apps) for trip updates and support.
27) Sanctions and Compliance
You represent that no traveler is subject to trade or travel sanctions and that your travel complies with applicable laws (including OFAC, export controls, and health regulations).
28) Dispute Resolution and Governing Law
These Terms are governed by the laws of [State]. Disputes will be resolved by binding arbitration administered by [e.g., AAA] in [County, State] on an individual basis; class actions are waived. Either party may bring qualifying claims in [County, State] small-claims court. You may opt out of arbitration by written notice within 30 days of your first booking under these Terms.
29) Changes to These Terms
We may update these Terms at any time. The version in force is the one posted on our site when you submit your booking request. Material changes will be reflected in the “Last updated” date.
30) Acceptance
By paying a planning fee, deposit, or balance, you confirm that you have read and accept these Terms for yourself and anyone in your party.
